Before leaving for the property
Charge your phone, free up storage space, bring a power bank and make sure you can access the floor plan or property documents you intend to use. Prepare simple inspection tools that are safe for homeowners, such as a flashlight, a coin or tapping tool, and a consumer socket tester if appropriate.
Create the property project before the inspection if possible. Enter the development, block or unit information and other relevant project details while you are not under time pressure.
At the entrance: establish a baseline
Take an overall photo when you enter each room before zooming into defects. Overview photos help preserve context and make it easier to remember where detailed photos were taken.
Confirm the room list first. A clear room list gives the inspection a finish line: every room should eventually show a known completion state.
Work from surfaces to fittings
A practical sequence is to look at major finishes first, then doors and windows, then built-ins and visible fittings, followed by water or drainage checks that are safe to perform.
Photograph defects clearly
Take a wide-enough photo to show location and a closer photo where needed to show the condition. Avoid using only extreme close-ups with no context.
Annotations can help identify the exact crack, chip, stain, gap or suspected hollow-tile position. Keep the original observation factual.
Before leaving the property
Review the room completion list. Check for unfinished items, defects without photos, photos without explanations, and high-priority issues that need clearer evidence.
Use Final Review to surface incomplete records, then generate the report only after the observations are confirmed.
