How to Prepare a New Home Defect Report for Your Developer in Malaysia

A useful defect report is not about making the document look complicated. It is about making every issue easy to identify, locate and understand without forcing the reader to guess which photo belongs to which room.

Start with accurate property details

Include the development or project reference, block or building information, unit number and other property identifiers that help connect the report to the correct home.

Use consistent defect numbers

Give each recorded issue a stable reference such as DEF-001, DEF-002 and so on. Numbering makes follow-up conversations much easier than referring to 'the second bathroom photo'.

Keep descriptions factual

Describe what was observed rather than making unsupported claims about cause or liability. Clear factual wording is more useful than guessing why a condition happened.

Pair photos with location context

Attach the evidence to the same record as the description. Where needed, include both an overview photo and a closer photo. Annotations can help point to the exact area.

Add floor-plan locations

Floor-plan pins are especially useful for issues on large walls, floors, ceilings or repeated finishes. A numbered marker lets the reader map the report entry back to the unit.

Control report versions

When changes are made after an initial report, create a new version rather than silently replacing the old context. Wefect Basic supports up to three generated versions, while Wefect Plus supports unlimited versions within the same paid property project.

Frequently asked questions

Does Wefect submit the report directly to the developer?

No. The homeowner downloads the report and submits it using the developer's appropriate channel.

Should normal checks fill the defect report?

The final defect report is clearer when it focuses on recorded issues rather than filling pages with no-issue items.
