Agree room names first
Partners or family members often use different names for the same room. Before starting, label the main bedroom and other rooms consistently on one plan. Choose a lead record keeper. Two lists using the same defect number for different findings create avoidable confusion later.
Pair normal inspection with live note-taking
One person observes accessible surfaces and normally operates doors or cabinets. The other takes location and detail photos and writes the observation. Complete a finding before starting another. The recorder can film a normal operation when the inspector needs both hands. This is a teamwork method, not a claim that the App provides live multi-user syncing.
Confirm four things for each finding
Say where it is, what is visible and what happens during normal use. Then confirm which photos show that finding. For example: kitchen sink unit, left door; upper corner rubs the adjacent door during normal opening; photos C03–C05. If the location is unclear, take the missing overview now rather than trying to remember it at home.
Close each room with a handover check
Check that the room’s doors, windows, surfaces, floor, cabinets and accessible fittings have been considered. Match its photos to its records. Keep “Checked, no visible issue”, “Finding recorded” and “Not checked today” distinct. An item you could not inspect is not a passed item; retain it as a follow-up task.
If you inspect separate rooms
Allocate rooms and temporary numbering prefixes first, such as B2-01 and KT-01. Check for duplicates when combining records, then settle the report numbering. Preserve original photos when sharing evidence. Select clear images for the report, but keep the source files in case a location or observation needs checking.
Use Wefect as the shared record method
Work through one lead Wefect record process, organising each room’s photos, descriptions and locations, then review the report together. Plus provides description assistance for visible photo details. The person operating a fitting supplies the site observation. The aim is one organised report rather than two galleries that need reconstructing.
Use Wefect to organise your findings
Keep photos, room names, descriptions and locations connected, then prepare an English PDF according to your plan.
